Managing Contact Access with Individual Groups in Jusnote

Individual Access to Contacts

In Jusnote, access to contacts (both individuals and companies) can be configured at the user level using custom individual groups. This allows for precise access control — similar to how it works for matters — without requiring predefined groups.

Contact Access Options

When creating or editing a contact, you can choose one of three access levels via the Access to client field:

  1. All users – the contact is visible to everyone in the organization.

  2. Predefined group – access is limited to members of a group created in Settings → Groups.

  3. Individual group – access is granted only to selected users, without using predefined groups.


How to Assign Individual Access to a Contact

Open the contact creation or editing form.

  1. In the Access to client section, enable the Individual Group toggle.
  2. Select the specific users who should have access to this contact.
  3. Save your changes.

Once set, the contact becomes invisible to all users not included in the selected individual group.



When to Use Individual Groups
  • To limit access to sensitive or confidential client contacts.

  • When access needs to be granted on a case-by-case basis, without maintaining permanent groups.

  • When one contact is managed by people from different practices, departments, or external collaborators.


Key Notes
  • Individual groups function independently of groups defined in the Settings menu.

  • You can edit the individual group at any time.

  • A contact can belong to only one type of access: All users, Predefined group, or Individual group.

Tip:

Use individual access groups for high-privacy clients, internal-only records, or when collaboration is limited to a specific team.
