General Chat in Jusnote: A Comprehensive Guide for Legal Teams

General Chat in Jusnote: In-Depth Overview and Recommendations

Jusnote provides the ability to communicate with all users in your company (account) in one place — the General Chat.

Please keep in mind that Jusnote also offers another type of chat — an “object-specific” chat linked to a particular contact, Matter, task, invoice, etc. Below, we will explain how these two chats differ and how to use the new General Chat effectively for sharing information and announcements.

What Is the General Chat?

The General Chat is a centralized communication space accessible to all users in your company (account). Unlike “object-specific” chats (which are linked to a specific contact, Matter, or task), the General Chat is designed for messages that concern the entire team, such as announcements, acknowledgments, or general inquiries.

InfoThe General Chat is available on the Professional and Premium plans. If your account is subscribed to one of these plans, all your users will have access to it.

Where to Find It?

  • The General Chat button is located in the top header of Jusnote (near the notifications and updates icons).
  • Next to the chat icon, you will see an indicator for unread messages

  • Key Features of the General Chat

    1. Sending Messages to All or Selected Company Users
This is handy for mass announcements, news, greetings, or corporate inquiries.

    2. Unread Message Indicator

If new messages are posted in the General Chat and you haven’t opened it yet, a “badge” with the number of unread messages will appear on the chat icon.
These indicators update in real time, so you’ll immediately see when new messages arrive.

    3. Mentions (@username)

If another user mentions you in a message by typing “@” followed by your username, you will receive a notification about it.
The mention indicator disappears once you view the message containing the mention.

    4. User Presence in the System

Within the chat window, you can see who is active
(logged in to Jusnote) at any given time.

    6. Sound Notifications (PING)

A brief sound plays when a new message arrives in the General Chat.
    You can disable
this sound in the chat settings on your computer or mobile device.

    6. Message Search
The General Chat offers a quick search across its entire message history.
When you open the search results, the chat will display the relevant message in context (so you can see what was written before and after it).

    7. Pinning Important Messages
Any user can pin certain important messages or announcements at the top of the General Chat.
Pinned messages appear in a separate “Pinned” tab, making them easy to find and review.

    8. Inserting Links to Jusnote Objects
If someone shares a link to a contact, Matter, task, or any other object within the chat, it will be clickable only for those with proper access rights to that object.
If a user viewing the message does not have access, they will see a relevant warning when trying to open the link.

How Does the General Chat Differ from the “Object-Specific” Chat?

    • General Chat: There is only one General Chat per account (company). It is intended for messages that might be useful or relevant to all users.
    • Object-Specific Chat: This is automatically created within each object (contact, Matter, task, invoice, document, or correspondence). Only those users who have access to the relevant object (contact or Matter) can participate in that chat.

For example, if three attorneys are working on a particular Matter, only those three attorneys will see the messages in that Matter’s chat and can communicate with each other regarding it.

Thus, if you need to discuss something locally related to a single object, use the object-specific chat. But if the information needs to reach all employees, or it’s a general topic, choose the General Chat

How to Start Using the General Chat?

  • Check Your Plan
The General Chat is available on Professional and Premium plans. If you are on a different plan, please contact the Jusnote team or upgrade your plan in the “Settings” section.

  • Open the Chat via the Icon
At the top right of the Jusnote interface, you will see a “Chat” icon.
Click on it, and the chat panel will appear.

  • View Existing Messages or Write Your Own
If there are unread messages, you can read them immediately.
In the “Write a message…” field, enter your text and click “Send.”

  • Use “@” to Mention Colleagues
Type “@” plus part of the user’s name to address a specific person.
That user will receive a special mention notification and won’t miss your message.

  • Search the Chat History
In the “Search” tab, enter a keyword or phrase to find the message you need.
Found a match? Click it to see the full discussion around that message.

  • Disable Sound Notifications if Needed
Go to your computer or mobile device settings (where you have the Jusnote app installed) and deactivate the “Enable sound for new messages” option if you prefer not to hear notifications.

  • Pin Important Messages
Select the message you want to prioritize, and use the pin button.
You can view all pinned messages in the “Pinned” tab.

  • Tips for Effective Use

  • Mention (@) the right people: This ensures your request or update doesn’t get lost among other messages.
  • Label important announcements: Use headings such as “[ANNOUNCEMENT]” or “[IMPORTANT]” to draw colleagues’ attention.
  • Use pinned messages to wrap up ongoing issues or store key guidelines and instructions.
  • Adjust the sound if you need to: turn notifications off if they distract you, or leave them on if you don’t want to miss important updates.
  • When sharing links to an object, make sure the people you’re sharing with have the correct access to that object. If they don’t, Jusnote will display a warning, and the link will be inactive.

  • Hence, the General Chat in Jusnote is an excellent way to quickly share general information, make announcements, or maintain communications across the company. It complements but does not replace the “object-specific” chats, which remain a convenient way to discuss matters within a specific Matter or task.

Try using the General Chat in your daily work to see just how much easier it is to share updates and stay connected with your entire team!
