Creating a New Matter in Jusnote — Step-by-Step Guide for Legal Professionals

Creating a New Matter in Jusnote

Matters in Jusnote help you organize all client work by grouping tasks, documents, time entries, invoices, and payments in one place.
This article explains how to create a new matter and configure its key settings.

How to Create a New Matter

  1. Go to the Matters section from the main navigation menu on the left.

  2. Click Create → New Matter.

  3. Fill in the main matter details in the form that appears.

You can also create a new matter directly from a Client Profile (under the Matters tab) or from the + Create button in the top-right corner of your dashboard.

Basic Matter Information

  • Name* — required field. Enter a short, descriptive name that makes the matter easy to find (for example, “Prizmatron LLC vs Ministry of Health — claim appeal”).

  • Client* — select a client from your database. If the client is not yet in the system, click + Client to add one directly.

  • Matter Manager — the person responsible for overseeing and coordinating all work within the matter.

  • Matter Originator — the person who brought the matter to the firm. This user may not perform any legal work but can be eligible for origination or referral bonuses.

  • Client Agreement — optionally link the matter to an existing engagement or service agreement. You can also create a new agreement by clicking + Agreement.

  • Practice Area — choose the relevant area of law (e.g., Corporate, Litigation, Tax). Practice areas can be preconfigured in Settings → Directories → Practice Areas.

  • Matter Stage — indicate the current status (e.g., Preliminary ReviewIn ProgressCompleted).

  • Matter Value — total estimated or agreed value (optional).

  • Start Date* — required field that defines when the matter begins.

  • Expected End Date — optional field for planning deadlines.

  • End Date — actual completion date (optional).

  • Description — a brief summary of the matter’s purpose or scope.

Court Case Monitoring

If your matter involves litigation, you can enable Juscourt Tracker.
Enter the case number, and Jusnote will automatically monitor the Court Authority Portal and Court Decisions Registerfor any updates (such as new hearings or documents).

Matter Access

In the Matter Access section, define which team members can view or edit this matter.
You can assign individual users or entire user groups.
This field is required. Learn more about permissions in the Roles and Permissions article.

Billing Settings

This section defines how Jusnote tracks time and generates invoices for your matter.

  • Non-billable Matter — enable this if the matter should not generate invoices (e.g., pro bono or internal work).

  • Currency — set the primary currency for billing and reporting. Available currencies include UAH, USD, EUR, USDT, EURT, PLN, and others (depending on your plan).

  • Invoice Currency — defines the currency used when issuing invoices (Professional and Premium plans only).

  • Description Language — select the default language for time and expense entries, invoices, and reports.

  • Billing Method:

    • Hourly Rate — time is multiplied by the user’s standard or custom rate.

    • Fixed Fee — a set fee regardless of time logged.

Note: If no custom rates are defined, the user’s standard rate from their profile will be applied automatically.

  • Custom Rate — assign individual hourly rates for specific users within the matter.

  • Invoice Type — choose between Postpaid or Prepaid.

  • Default Work Description — text that will automatically appear in invoices for completed work.

  • Default Prepayment Description — text for prepaid invoice templates.

Matter Budget

If your matter has a defined financial limit, enable “This matter has a budget” and enter the amount.
This helps control billable hours and total fees within the set threshold.

You can also enable notifications for users with billing rights when the budget reaches its limit — Jusnote will monitor it automatically.

After completing all required fields, click Save.
Your new matter will appear in the list, and you can:

  • add tasks, documents, messages, and time entries;

  • issue invoices;

  • track financial and time performance in real time.

InfoNote: The default billing method for new matters is Hourly Rate.
If a custom rate is updated after the matter is created, all new activities will be billed using the updated rate.
