Matter Stages

Matter stages are Kanban boards that can be used to visualize and track matter progress in Jusnote. You can create stages or phases for respective practice areas, add matters to specific stages, and easily move matters between stages to track their progress and movement. With matter stages, you get a firm-wide view of which stage each matter is at, allowing you to improve collaboration in your firm, spend less time determining priority matters, and effectively manage larger matter volumes.

Creating Matter Stages

Matter stages differ depending on the practice area, so in Jusnote, each practice area has its corresponding board with stages. Once created, stages are available to all system users.

Viewing and Sorting Stages

When viewing matter stages overall, you can switch between boards by selecting a new practice area, filter matters shown for each practice area, and move stage columns to reorder them.


Changing Boards
  1. Go to Matters > Stages
  2. From the practice areas dropdown list, select the desired practice area.
Filtering Matters
  1. Go to Matters > Stages
  2. Select the desired practice area and click Filters
  3. Select filter parameters, then click Apply Filters
Sorting Columns
  1. Go to Matters > Stages
  2. Click and hold the matter stage column, then drag it left or right of another column.

Editing and Deleting Matter Stages

You can change a matter stage name at any time after its creation. If needed, you can also delete a matter stage. If you delete a stage, matters under that column will move to the "Stage Not Assigned" column.

Notes
Note: Only users with administrator and Billing Manager rights can edit and delete matter stages. Learn more about roles and access rights at the link.

Editing a Matter Stage
  1. Go to Matters > Stages
  2. Click the three dots next to the stage name and select "Edit Name"
  3. Change the stage name and click "Save"
Deleting a Matter Stage
  1. Go to Matters > Stages
  2. Click the three dots next to the stage name and select "Delete Stage"
  3. In the modal warning window, click "Delete Stage"

Adding Matters to Stages

When you select a practice area for a specific matter, that matter will automatically appear on the matter stages board for that practice area. If you haven't selected a practice area for the matter during new matter creation, you can do this by editing the matter. After selecting a practice area, the first stage for the matter will be set by default to "Stage Not Assigned" unless a specific stage is explicitly selected during matter creation or editing.

Notes
Note: Since matter stages are linked to practice areas, each matter can only be on one board at a time.

  1. Go to the respective Matter card and click the Edit button
  2. On the matter editing page, select the practice area in the "Practice" field and then, in the "Matter Stage" field, select one of the stages you previously created for this practice
  3. Click "Save"

You can also view the stage of the respective matter on the "Main" tab of the matter page.



Moving Matters Between Stages

When a matter appears at a certain stage, the matter card will include the matter name, client name, matter responsible user, and the number of days the matter has been at the current stage. This time count begins when the matter is assigned the corresponding stage during its creation (editing), or when the matter is moved to a new stage and does not include the time spent in the "Stage Not Assigned" column. Moving matters between stages is quick and easy. You can move matters between stages by dragging them or changing stages directly from the matter card.

Notes
Note: Matter status is displayed in the matter card on the corresponding board. "In Progress" matters are blue, and matters with "On Hold" status are yellow. Completed matters will not appear on the board.

  1. Go to Matters > Stages
  2. Click and hold the matter card, then drag it to the new stage column

Managing Actions from Matter Cards

Directly from each matter card on the board, you can change the matter's practice area, change the matter status to "On Hold" or "Completed".

Change Practice

This will move the matter from one board to another. After moving, the matter card will automatically go to the "Stage Not Assigned" column of the new practice area.

Mark Matter as On Hold or In Progress 

If the matter is in progress, you can mark it as "On Hold". If the matter is "On Hold" you can change its status to "In Progress".

Close Matter

Since closed (completed) matters are not included on the board, selecting this option will remove the matter from the Kanban board. If you want to show the matter on the board again, edit the matter and set its status to "In Progress" or "On Hold". A closed matter will retain its practice and stage, meaning its reopening will return it to the same place on the board.

Idea
Tip: Click on the client name or matter name on the matter card on the board to go to the contact or matter page.
