How to create a matter

The matter is the totality of the tasks and events that are combined by the common goal, client, etc. (for example, "Court case "X" vs "Y" on the recovery of funds", "Providing legal services for Auto-Trade LLC for the 2020").


You can create a new matter from different places of Jusnote. The easiest wat to do this is by using the "+" button in the upper right corner.

To create the new Matter, in the appropriate place of Jusnote tap on the "Create Matter" button.



Name: Each Matter has a name. Enter any name for the Matter to help yourself in the easily find this specific Matter among many others (for example, "Auto-Trade LLC 2020" or "Cherokee Nation v. the State of Georgia"). This field is required.


Client: Each Matter needs to have a client. By adding the Contact to the Matter, the system automatically makes this Contact become a Client. If the person already exists in Jusnote, start typing its name and select the right person from the drop-down menu. In any other case, tap on the "+ Client" button to simultaneously create the new Contact and make it become a Client. 


Contract with the Client. Matter can have a contract as the legal basis for providing legal services to the Client. If the contract with the Client already exists in the system, and you are going to perform works on this Matter within the existing contract, select the contract from the drop-down menu. In any other case, tap on the "+ Contact" button to simultaneously create the new contract and make it the legal basis for performing works on this Matter. This field isn't required. 


Matter description. Write here the description of the Matter that will help you identify the content of the Matter in the future. This information will also be on the main dashboard of the Matter. 


Practice. In this field, from the drop-down menu, select the related legal practice to this Matter. Read more about managing legal practices here.


Responsible person. Optionally, you can appoint one responsible person on the Matter. A responsible person performs works on the Matter. This person can be simultaneously also the Initiator of the Matter. In most cases, this category doesn't cover the administrative staff (office manager, accountant, etc.) This field isn't required. 


Originating solicitor. Optionally, you can appoint one originating solicitor on the Matter. The originating solicitor "made" the Matter to the firm. This person may not be the responsible person of the Matter (doesn't perform any works). At the same time, this status gives the person the ability to get different awards for making new Matter to the firm. Using our reports, you can see who of the partners makes new work for the company, its amount, and cost. This field isn't required. 


Start date: Here, you can select the time you start working on the Matter. This field isn't required. 


Pending: Here, you can select the approximate date of ending the Matter. By filling in the pending time, you give the system the ability to remind of the appropriate date of the responsible person for this Matter.


End date: Here, you can select the time you finish working on the Matter. This field isn't required. 

 

Access to Matter: While creating the new Matter, you can select the specific user or the group of people that will have access to the information on the Matter. This field required for filling in. If you want to read more about roles and permissions in Jusnote, please read this article. 


Status: Here, you can select the status of the Matter. If you decide not to choose anything, the status will be set as "Open" by default. 





The "Billing preferences" section allows setting the specific payment conditions on the Matter. 


Currency: You can choose the currency that will apply to all activities of this Matter. At this moment, only one currency can be selected in the Matter. The currency of the Matter can be set as the main currency of the system or in UAH, USD, EUR, RUB (available in the "Professional" plan). Currency in the bill: Here, you can select the currency that will be applied when creating invoices within this Matter (available in the "Professional" plan). By default, the system's currency applies to the currency of the invoice. To learn more about selecting the main currency, please read this article. 


Language in the description: Here, you can select the language that will be used in descriptions of time and expense records and invoices within the Matter. This field is active in the "Professional" subscription plan. By default, the language of the description will be the interface language of the system. If you change the language during the Matter, this will not automatically translate descriptions of time and expenses records, as well as invoices, and will require manual adjustment.


Type of payment: By default, the Matter has the hourly payment type. You can also set the fixed fee on the Matter. Hourly fee on the Matter counts depending on the user's hourly rate by default if the Matter doesn't have the custom rates.


Custom rates: In the "Professional" plan, you can set custom rates to responsible persons, that will be applied when creating invoices, time accounting of lawyers within this Matter. The custom rate can't be changed after the approval of the invoices on the Matter.


Type of invoice: By default, all the Matters have prepayments as the primary type of payment, which means that invoices will ve created based on the done work. But you can also choose the prepayment type of invoice. In this case, you'll be able to create invoices before any work is performed on the Matter. 


Performed work description (by default): Here you can write the description, that automatically applies while you create prepayment invoices on the Matter. The description can also be changed while you create or edit the invoice.

Matter budget: Jusnote can set the budget to each Matter and set the individual reminder for Users with the "Billing" permissions. The reminder will notify that the budget reached the specific amount. The Manager doesn't need to continually monitor the cost of legal assistance already provided to the client because the system's constant internal monitoring of the scope of work on the Matter is carried out.


Please note:

  • The User with no provided permissions, as well as the User with the "Reports" and "Accounts" permissions, won't see the Billing Preferences section on the page of creation the Matter. The User with the "Billing" permission can view and edit the "Billing Preferences" section on this page. 
  • Any Administrator can see and edit the "Billing Preferences" section on the page of the creation of the Matter. If you want to learn more about types of roles and permissions, please, read this article.
