Activities in Jusnote are any actions performed by a lawyer or law firm, which can be either billable or non-billable, and form the basis for issuing invoices to clients. They are divided into time entries (for example, consultations, document preparation, court appearances) and expense entries. Using categories for activities allows firms to structure their operations, ensure a consistent approach to billing for similar services, and effectively track which types of activities generate the most income. Additionally, proper organization of activities ensures transparency of work for clients and simplifies the process of generating reports and analytics.

Activity categories in Jusnote are types of services or work that a lawyer or law firm provides to clients. The ability to set different billing methods and amounts for different activity categories allows for more efficient accounting and automates the financial aspect of working with clients.

This functionality automatically applies the appropriate billing method (flat rate, hourly rate, or individual rate) depending on the type of lawyer activity selected for the project. This significantly simplifies the process of calculating payments and creating invoices.

The following billing methods are available in the Jusnote system:

  • Standard user rate — uses the standard hourly rate set for the user in the system settings
  • Individual rate — a special rate set for a specific type of activity
  • Flat fee — a predetermined amount for a certain type of activity regardless of time spent

How to create a new activity category with a billing method

  1. In the navigation menu, go to Settings > Activity Types.
  2. Click the Create button in the upper right corner.
  3. In the creation window, enter the Name of the activity type > Billing method and click Save.

Flat rates for activities will take priority over standard or special hourly rates set in settings or project.



Using activity categories with flat rates in projects

The ability to automatically fill in the fee amount when creating a project is particularly convenient. When you select "Flat rate" as the project billing method, the system will automatically suggest activity types with a similar billing method.

When selecting a specific activity type with a flat rate, the project fee amount will be automatically filled in according to the established amount for this activity type. This allows you to:

  • Avoid errors when setting prices
  • Ensure consistent prices for services
  • Speed up the creation of new projects
  • Simplify calculations with clients
Adding time using activity categories

When creating a time record:

  1. Select the project you were working on
  2. In the Activities tab, click Create > Time
  3. In the new window, specify the Duration of work
  4. In the Activity Type field, select the appropriate activity from the list. The system will automatically apply the correct billing method and calculate the cost of work or services.
  5. Enter other necessary data and click the Save button.

Editing and deleting activity categories

To edit an activity category:

  1. Go to Settings > Activity Types. Find the desired activity type.
  2. Click Edit, make the necessary changes, and click the Save button.

To delete an activity type:

  1. Go to Settings > Activity Types. Find the desired activity type.
  2. Click Delete and confirm the action.

Warning
Note: The original information about the activity name will not be stored anywhere in Jusnote after editing and saving changes. The new name will be used in all projects, reports, filters from the moment they are saved.

Note: After deleting an activity type, the corresponding field in Projects, Reports, Activities, and other places in the system where the specified activity type was used before deletion will be empty.

Recommendations for use

  • Create clear, understandable names for activity categories.
  • Regularly review and update billing methods to ensure they correspond to current market rates.
  • Group similar activity types with the same billing methods.
  • Use flat rates for standardized services that have a predictable scope of work.
  • Apply hourly rates for services with an undefined scope of work.
